New Space Management and Flexible Work Policy Takes Effect
The University of Arizona has adopted a new Space Management and Flexible Work Policy, effective July 15, 2026. The policy introduces new expectations for documenting work locations and flexible schedule agreements. Concurrently, the university has launched a new UAccess Work Location and Flexible Schedule module.
The new policy and module are part of the university’s investment into understanding how space is used and how flexible work can best support employees. Work location and flexible schedule data supports several important operational needs:
- Space allocation: Identifying employees assigned work locations and their percentage of occupancy allows more efficient allocation of space.
- Safety: Understanding who is expected to be in a given building during an evacuation can inform better safety protocols.
- Facilities management: Understanding campus occupancy impacts utility usage planning and cleaning schedules.
- Compliance: Documenting work locations supports tax and regulatory compliance for employees working outside Arizona.
- Flexible work facilitation: Documenting flexible work provides leadership with a better understanding of the flexible work landscape at the university. It also provides an opportunity for annual review and updates to agreements.
About the new UAccess module
The Work Location and Flexible Schedule module is a UAccess form that guides employees step-by-step through adding their work locations (at a university location or remotely), the percentage of a typical week when they work at each location, and any flexible schedule agreements they may have.
Employees may use the module to review and update their information at any time. Information added to the module by staff, faculty, or appointed professionals will route to their supervisor for review and approval.
How to access the module
- Navigate to UAccess Employee.
- From the homepage, select the Personal Information tile.
- Select Work Location and Schedule from the bottom of the lefthand menu.
- Select Add and follow the prompts.
About the new staff requirements
The new policy requires all staff members to add or confirm their work locations and any flexible schedule:
- Whenever they change their work location or flexible schedule.
- Annually.
In 2026, staff members must add their information to the new UAccess module by Tuesday, Sept. 15.
They must do so:
- Whether they work at a university location or remotely.
- Even if there are no changes to their work location, schedule, or flexible work agreements.
Staff members will receive email reminders from UAccess to complete the annual requirement.
