New MSS Background Check Features

We are pleased to announce two new features are available in UAccess Manager Self-Service (MSS) today which will streamline the process for initiating background check requests to the HR Background Check Team in Workforce Systems.

MSS Campus Colleague Request (DCC)

A background check request will now launch directly from the DCC Request if the DCC will perform security-sensitive duties and/or drive on university business.

When initiating a DCC Request, please carefully answer the security-sensitive and driving questions. If a criminal and/or motor vehicle record (MVR) background check is required, an account number and department contact for the background check will need to be entered on the DCC request.  

Note:  This change affects newly created DCC Requests as of today.  For DCC Requests initiated before today, please use the new MSS Request Background Check to initiate the background check if needed (details below). 

MSS Request Background Check

Background check requests are currently launched directly from a New Hire, Job Change, Student Additional Job or Campus Colleague Request transaction.  To submit a request without one of those transactions, we have added a new MSS Request Background Check transaction type.  Examples of when to submit a MSS Request Background Check transaction include:

  • MVR Only checks for student workers or other employees
  • MSS Exception requests (e.g., Additional Jobs, Job Changes)
  • MSS Title Management requests (e.g., adding an Administrator – UHAP Chapter 5)

The new Request Background Check is available at UAccess Employee > UA Manager Self Service > Request MSS Transactions > Employment and Job > Request Background Check. The initiator must be provisioned with the Job Change Approver role. 

Note: The Request Background Check transaction replaces the ‘Request for Criminal Background/DMV Check’ previously available on HR’s website.

Background Check Services

As many of you are aware, background check services and fingerprinting were limited due to COVID-19.  Now that services are resuming, the Background Check Team is catching up on pending background checks. Employees and DCCs who are required to complete a background check will be contacted by email with instructions for completion of the necessary forms.

Updated Forms and Process

In order to comply with FBI and DPS requirements, the University’s fingerprint packets have been updated with new forms and language.  In addition, the HR Background Check Team will mail fingerprint packets directly to employees and DCCs rather than providing a supply of packets to departments. If your department has a supply of unused fingerprint packets, please destroy them.

As a reminder, employees are instructed to send completed background check forms directly to Human Resources.  Departments should not collect these forms or store copies of them in department records.  The HR Background Check Team stores this information separately from the official employee files and it’s only available to authorized personnel.
