Employees may be offered flexible work agreements depending on division and college parameters and needs. Use this page to navigate and understand university resources, support and expectations related to flexible work.

Employee flexible work information should be reported in the UAccess Work Location and Flexible Schedule module and can be updated at any time for supervisor approval.

What is Flexible Work?

Flexible work refers to an ongoing, consistent, agreement that allows an employee to:

  • Work from a location that is different from their unit’s default work location(s).
  • Be assigned a work schedule that is different from their unit’s regularly scheduled work hours.

A flexible work agreement can include either or both types of flexibility.

Types of Flexible Work

For the following to be considered flexible work, the agreement must represent an employee's typical or routine situation. One-time, ad-hoc, or occasional needs to utilize flexibility (e.g., arrangements that are brief in duration or occur once or twice per month) are not within scope of this page.

Hybrid Work Week

An employee completes some, but not all, of their scheduled hours each week from home or another off-site location.

Temporary Remote Periods

A temporary, multi-week period when an employee completes work at a location other than their typical or default work location.

Fully Remote

An employee completes all of their scheduled hours each week from home or another off-site location.

Flexible Schedule

An employee is allowed a consistent variation in start and end times but does not change the total number of hours worked in a work week.

Compressed Work Week

An employee completes their scheduled hours each week in less than five full work days.
 

Core Business Hours

Set times each week when all employees within a unit or team must be working. Time outside of core business hours are flexible.

Senior leaders, division leaders and deans establish parameters for flexible work agreements that are permitted within their units. Please contact your supervisor or college/division leadership about what will be permitted or covered related to flexible work.

Yes. Employees may keep university-issued office supplies and equipment at an off-site location if it is in line with the flexible work agreement and is not detrimental to the requirements of the position and the needs of the department/unit.

Please use the Certification Statement For Off-Campus Location Use of Equipment (PDF) to document any university equipment taken to a building or site not owned or leased by the university.

Yes. To efficiently use on-campus workspace and grant flexibility to employees, units may create shared workspaces as a condition of a hybrid schedule.

No. If your hybrid or fully remote work location is at your home address, then the Work Location and Flexible Schedule module will limit what your supervisor can see to just the city and state. 

One-time, ad-hoc, or occasional needs to utilize schedule flexibility (e.g., temporary or once or twice per month arrangements) can be approved directly by your supervisor without adding to the UAccess Work Location and Flexible Schedule module.

Discuss your needs with your supervisor and determine if your situation qualifies as a flexible work agreement. If it does, the information that best reflects a typical week should be documented in the module. 

If your schedule varies significantly week to week or does not match the options provided in the module, you can add notes to explain the nature of the agreement.

You must discuss your new situation or needs with your supervisor. Then, any changes to a flexible work agreement should be added to the UAccess Work Location and Flexible Schedule module.
